Operations Manager Job Description Template

The operations manager runs the trade lifecycle and the daily processes that keep the fund’s books accurate: confirmations, settlement, reconciliation, corporate actions and the relationship with the administrator and prime brokers. The role is measured by the absence of breaks and by how quickly the ones that do occur are resolved. It carries a lot of quiet responsibility, because an unreconciled position is an unmeasured risk.

Typical Duties and Responsibilities

• Own the daily trade lifecycle from confirmation through to settlement
• Manage cash, position and profit and loss reconciliations with prime brokers and the administrator
• Investigate and resolve breaks, fails and settlement issues
• Process corporate actions, dividends and coupon events
• Oversee collateral, margin and financing arrangements operationally
• Support monthly NAV production and review the administrator’s output
• Maintain the operational procedures and the controls around them
• Manage relationships with brokers, custodians and the administrator day to day
• Support onboarding of new instruments, markets and counterparties
• Lead and develop the operations team

Education

• Bachelor’s degree in finance, accounting, business or a related field

Required Skills and Experience

• 5+ years of investment operations experience at a fund or administrator
• Command of the trade lifecycle across the instruments the fund trades
• Strong reconciliation discipline and break resolution experience
• Understanding of corporate actions and their accounting treatment
• Experience with a portfolio accounting or order management system
• Ability to work to fixed daily and monthly deadlines
• Clear escalation judgment
• Experience managing a small team

Preferred Qualifications

• Experience with derivatives operations and collateral management
• Familiarity with Advent Geneva, Enfusion or a comparable platform
